What it is

Drop Top Sheets

Live spreadsheets, dashboards and scheduled reports on your Asana data.

Works with Asana. Sign in with Asana

Drop Top Sheets turns your Asana workspace into live spreadsheets, pivot tables, charts and dashboards. Tasks, projects, sections, tags, people, teams, portfolios, goals and time entries become tables that spreadsheet formulas read directly, so open and overdue work, workload per person and completion trends stay up to date without exporting a CSV.

  • Open, overdue, due this week and completed work per project and per person, and tasks created and completed per month, in a ready-made "Asana overview" spreadsheet.
  • Formulas such as =data.tasks.count(id, status, "Overdue") and =data.tasks_by_project.count(id, project, A2, completed, FALSE) work next to any spreadsheet function.
  • Custom fields are columns, and every task carries its project's owner and team and its assignee's e-mail address, so you can pivot work by team without formulas.
  • Pivot tables, charts and dashboards with filters and click-to-filter; exports to .xlsx and PDF; share links.
  • Scheduled e-mail reports and alerts from your own mailbox, and AI assistants through MCP.

Everyone sees only the tasks and projects they can already see in Asana: Drop Top Sheets reads with each person's own access, so private projects stay private. It only reads; it never changes your tasks or projects.

The data

11 tables from your Asana workspace

Add any of them to a spreadsheet as a data source. Each table's page lists its columns and the formulas that use them.

Custom fields are columns too, named like the field. Portfolios, goals and time entries need one of Asana's paid plans; on a free workspace those tables are empty.

Reports

Reports people build first

One formula each. Put it in a cell, fill it down a column, or turn the table into a pivot and a chart.

=data.tasks.count(id, status, "Overdue")
Overdue tasks. Open tasks whose due date has passed, over the whole workspace (subtasks included).
=data.tasks.count(id, due, "This week")
Due this week. Open tasks due between today and Sunday.
=data.tasks_by_project.count(id, project, A2, completed, FALSE)
Open tasks per project. List the projects with =list.tasks_by_project(project) in column A and count the open tasks beside each one. A task in two projects counts in both.
=data.tasks_by_project.count(id, project, A2, completed, TRUE) / data.tasks_by_project.count(id, project, A2)
Done share per project. Completed tasks as a share of all tasks in the project in A2.
=data.tasks.count(id, assignee, A2, completed, FALSE)
Workload per person. Open tasks per assignee in column A (=list.tasks(assignee) spills the names).
=data.tasks.count(id, assignee, A2, status, "Overdue")
Overdue per person. Overdue tasks per assignee, to see who needs help.

How it works

From connection to a live report

  1. ConnectSign in with Asana at app.drop.top/asana. Sheets asks only for read access and reads with your own Asana permissions.
  2. Add dataAdd the tables a sheet needs as data sources, each under a short name.
  3. Write formulasUse =data.<name>.sum(…) next to any spreadsheet function, or build pivots and charts.
  4. Share and scheduleShare the sheet with colleagues, export to .xlsx or PDF, or e-mail it on a schedule.
FAQ

Questions

Can colleagues see projects they have no access to?

No. Everyone reads Asana with their own access, so a shared sheet shows each viewer only the tasks and projects they can open in Asana. Private projects stay private.

Which Asana data can a sheet use?

11 tables: tasks, tasks by project, projects, sections, tags, portfolios, portfolio items, goals, time entries, users, and teams. Custom fields are columns, and every task carries its project's owner and team.

Does Sheets change anything in Asana?

No. Sheets asks Asana only for read permissions and never writes to your tasks or projects.

Can an AI assistant build my reports?

Yes. Under Work with AI, connect Claude or another MCP client. It reads what you can read, builds sheets and dashboards, and can never change Asana.

Can I send reports by e-mail?

Yes. A sheet can be sent on a schedule as PDF or .xlsx from your own mailbox, and alerts tell you when a figure crosses a limit, for example when overdue tasks pass ten.
