What it is

Sheets

Live spreadsheets, dashboards and scheduled reports on your Xero data.

Works with Xero. Sign in with Xero

Sheets turns your Xero organisation into live spreadsheets. Invoices, bills, payments, bank transactions, contacts, the chart of accounts and your profit and loss, balance sheet and trial balance become tables that spreadsheet formulas, pivot tables and charts read directly, so your numbers stay up to date without exporting.

  • Receivables and payables by contact, with ageing (current, 1-30, 31-60, 61-90, over 90 days).
  • Profit and loss and balance sheet by month, for the last twelve months.
  • Invoice and bill lines by item, account and tracking category.
  • Pivot tables and charts on any table, and dashboards with filters.
  • Share sheets with colleagues, export to .xlsx or PDF, and send scheduled e-mail reports from your own mailbox.

Sheets only reads your Xero data: it never changes your books.

Reports

Reports people build first

One formula each. Put it in a cell, fill it down a column, or turn the table into a pivot and a chart.

=data.invoices.sum(amount_due_base_currency, ageing, A2)
Receivables ageing. Open invoices in the buckets accountants use (Current, 1-30, 31-60, 61-90, Over 90), in your base currency. Put a bucket name in A2.
=data.invoices.sum(amount_due_base_currency, payment_status, "Overdue")
Overdue invoices. Amount overdue, converted to the base currency with each invoice's own rate.
=data.profit_and_loss_by_month.sum(profit_impact, months_ago, 0)
Net profit this month. From the profit and loss by month: months_ago 0 is the current month, 1 the month before.
=data.profit_and_loss_by_month.sum(profit_impact)
Net profit, last 12 months. The rolling twelve-month result in one cell.
=data.balance_sheet_by_month_end.sum(balance, section, "Bank", months_ago, 0)
Cash at bank at month end. Bank balances from the balance sheet by month end.
=data.invoice_lines.sum(line_amount_excl_tax, item_code, A2)
Sales by item. Invoice lines per item code, before tax.

FAQ

Questions

Does Sheets change anything in Xero?

No. Sheets only reads your Xero data. It never writes to your organisation.

Which Xero data can a sheet use?

16 tables: invoices, quotes, credit notes, invoice lines, bills, bill lines, purchase orders, payments, bank transactions, manual journals, chart of accounts, contacts, products and services, profit and loss (by month), balance sheet (by month end), and trial balance (today).

What about foreign-currency invoices?

Invoices and bills carry their amounts in the base currency too, converted with each document's own rate, so totals across currencies add up.

Can I switch between organisations?

Yes. Each Xero organisation you connect is its own account in Sheets, with its own spreadsheets; you can switch between them.

Can I send reports by e-mail?

Yes. A sheet can be sent on a schedule as PDF or .xlsx, from your own mailbox.
