What it is

Sheets

Live spreadsheets, dashboards and scheduled reports on your QuickBooks Online data.

Works with QuickBooks Online.

Sheets turns your QuickBooks Online company into live spreadsheets. Invoices, bills, customers, vendors, the chart of accounts and reports become tables that spreadsheet formulas, pivot tables and charts read directly, so your numbers stay up to date without exporting.

  • Cash collection: open and overdue invoices by customer, with balances that stay current.
  • Spending: bills and expenses by vendor, account or month.
  • Pivot tables and charts on any table, and dashboards with filters.
  • Share sheets with colleagues, export to .xlsx or PDF.
  • Scheduled e-mail reports, sent from your own mailbox.

Sheets only reads your QuickBooks data: it never changes your books.

Reports

Reports people build first

One formula each. Put it in a cell, fill it down a column, or turn the table into a pivot and a chart.

=data.invoices.sum(balance, status, "Overdue")
Overdue receivables. Everything customers owe past the due date. Sheets computes the Status column (Paid, Open or Overdue) from the balance and due date.
=data.invoices.sum(balance, customer, A2, status, "<>Paid")
Receivables by customer. Put the customers in column A with =list.invoices(customer) and the open balance beside each one.
=data.invoices.sum(total, date, ">=2026-01-01")
Invoiced this year. Total invoiced since 1 January; change the date to compare periods.
=data.bills.sum(balance, status, "<>Paid")
Bills to pay. Open and overdue bills, the cash you need to set aside.
=data.expenses.sum(total, payee, A2)
Spending by payee. Expenses per payee, ready for a pivot table or a bar chart.
=data.payments_received.sum(amount, payment_method, A2)
Payments received per method. Cash in by payment method, per row in column A.

FAQ

Questions

Does Sheets change anything in QuickBooks?

No. Sheets only reads your QuickBooks Online data. It never creates, edits or deletes invoices, bills or any other record.

Which QuickBooks data can a sheet use?

15 tables: invoices, estimates, sales receipts, payments received, credit memos, bills, bill payments, expenses, deposits, journal entries, chart of accounts, customers, vendors, products and services, and employees.

How current are the numbers?

Sheets reads QuickBooks when a sheet opens or refreshes, and keeps data at most in a short-lived cache, so formulas show the books as they are now.

How is the connection secured?

You connect through Intuit's own sign-in. The access tokens are stored encrypted (AES-256) and used only to read your company's data; disconnecting revokes and deletes them.

Can I send reports by e-mail?

Yes. A sheet can be sent on a schedule as PDF or .xlsx, from your own mailbox (Google, Microsoft, SMTP or a Resend key).
